What is impacted: Ricoh Multifunction Devices; Technicians will be installing security certificate updates to our fleet of Ricoh Multifunction Devices (Copier/Printer/Scanners). While most of the fleet can be updated over the network remotely, a portion of our fleet will require a hands-on update by an IT Technician before the device will be usable again. Technicians will be going building to building to update these devices.
Level of impact: Service Interruption. Printers that don’t need a hands-on update should be back online after the first 15 minutes. Manual updates will occur as our technicians get to each building over the course of the maintenance period.
Timing: 10am to 1pm, Thursday, June 20.
Preparation: Please complete any required printing before maintenance begins. If you need to print during the maintenance period, please use of the FindMe print queue. If your usual device is temporarily out of service, you can release your print jobs at different Ricoh Multifunction device.

What is impacted: IT Client and Ticket Portals; Every Friday our vendor performs maintenance on the servers hosting the IT Ticket System (https://ithelp.viu.ca) and the IT Client Portal (https://technology.viu.ca).
Level of impact: Service Interruption. Employees will be unable to access the above sites/services during the maintenance window.
Timing: 9pm to 12:00 am, every Friday.
Preparation: None required. If you need to submit an IT Request during the maintenance window please e-mail ithelp@viu.ca. Once the maintenance is complete, an IT request will automatically be created based on your e-mail and you will be e-mailed a ticket number.

Level of impact: No Interruption. While no outage is expected, saving content during this timeframe within the Drupal platform may be slower.
Timing: 10am to 3pm, every Tuesday.
Preparation: None

What is impacted: wordpress.viu.ca; Our team will be installing updates to the system that hosts wordpress.viu.ca.
Level of impact: Service Interruption. During the maintenance window the above website will be unavailable for 15 minutes.
Timing: 6am to 8am, Wednesday, June 26.
Preparation: Please save any changes and log out your VIU WordPress blog prior to the maintenance window.

What is impacted: VIU Hosted Network Storage; Our team will be installing updates to the server that manages the various VIU hosted network storage. This includes Departmental Shares, as well as VIU computer account U-Drives, Desktop, and Documents Folders.
Level of impact: Service Interruption. During the maintenance window, the update process will cause several disconnections to occur. These disconnections will occur 4 times, lasting anywhere from 10 seconds to 5 minutes before reconnecting. When these disconnections happen, access to and the saving of files to the above locations will be interrupted.
Timing: 5pm to 7pm, Wednesday, June 17.
Preparation: Please save your work and sign out of your computer when you leave for the day. Do you need to access and work on files from the network shares listed above during the maintenance window? Please copy the files you need to your device or OneDrive. Continue to work on the copy until the maintenance window is complete. Please remember to copy your files back to the network share afterwards

Scheduled - What is impacted: All VIU Wireless Networks (VIU-Secure, VIU-Guest & Eduroam); Technicians will be deploying software updates to all our Wireless Access Points (WAP) across all VIU sites and campuses. This update will cause the device to reboot. Deploying in a rolling fashion, the aim is that some WAPs will stay online while other units are updating. Unfortunately, we cannot provide specific times within the maintenance window when a given space may be impacted.
Level of impact: Possible Service Interruption. As each WAP updates and reboots there is a chance that your device may lose connection from one of our wireless networks. (VIU-Secure, VIU-Guest or Eduroam) If this occurs, wait 2-3 minutest and then try reconnecting. In most cases another nearby WAP will keep your device connected.
Timing: 8pm to 10pm, Thursday, June 13.
Preparation: If you have a need for uninterrupted network connectivity during the maintenance window, please use a wired connection.

Resolved - Today at approximately 11:25am, we experienced a challenge with our main Network Firewall. Our secondary Firewall quickly recognized the main one was no longer passing any data, and automatically took over.

Anyone using a VIU Network connection at that time would have experienced a brief network outage/disconnection that lasted approximately 90 seconds. After the 90 second outage, normal network and internet access was restored with the secondary Firewall now in primary mode.

We are working with the vendor to investigate what happened caused the initial issue.

Timing: 12am to 3am, Sunday, June 9.
Preparation: If needed, please plan to use the Employee Portal outside of the Maintenance Period.
