Scheduled - What is impacted: Employee and student computers; Microsoft is changing how Office 365 (aka M365) updates are installed on our devices. These updates will now occur more frequently than in the past. Moving from a semi-annual update to monthly updates. As a result, the July update will be larger than normal, bringing our software up to date for next month’s updates.
Level of impact: App restart. This update will attempt to install while you are not actively using Office apps, as it will need to restart Office to complete. If it cannot find a time when Office is not actively in use, it may prompt you to save your work so it can restart Office.
Timing: Beginning Thursday, July 16, at 1 am. Continuing until all computers updated.
Preparation: None

Investigating - Employees and students using MacOS devices are having to re-authenticate each time they print to the FindMe printer queue.
Known MacOS versions that are experiencing this behavior:
Tahoe 26.4 and 26.4.1
Sequoia 15.7.5
Sonoma 14.8.5

This challenge may extend to other PaperCut managed printers. The PaperCut vendor's support team have reached out to Apple to find a solution.

Scheduled Maintenance

Maintenance: Administrative Systems; Service Interruption impacting employees and students Jul 17, 2026 18:00-22:00 PDT

What is impacted: Information Technology will be performing key maintenance on our core database systems. Many of our internal tools and applications that rely on these systems will be unavailable while this work is carried out. Some notable impacted systems include, but are not limited to:
- Student Record System (SRS)
- Student Ledger (SLED)
- Online Student Record
- Gradebook
- Student Services Appointment System
- Financial Record System (FRS)
- VIUWeb Admin System Portal and its modules (Award Management, Fledger)
- CUPE Training and Development
- Employee Directory System (EDS)
- Experience Hub (Orbis)
Level of impact: Service Interruption. All isapp.viu hosted tools and applications will be unavailable during the maintenance period.
Scheduled jobs and integrations from applications on VIU Information Systems to vendor systems will also be paused during this time.
Timing: Friday, July 17, 6 pm to 10 pm.
Preparation: Save all work and close these systems and all applications connected to these systems prior to the maintenance window. Do not use these systems during the maintenance window.

Weekly Maintenance: IT Client and Ticket Portals; Service Interruption Jul 17, 2026 21:00 - Jul 18, 2026 00:00 PDT

What is impacted: IT Client and Ticket Portals; Every Friday our vendor performs maintenance on the servers hosting the IT Ticket System (https://ithelp.viu.ca) and the IT Client Portal (https://technology.viu.ca).
Level of impact: Service Interruption. Employees will be unable to access the above sites/services during the maintenance window.
Timing: 9pm to 12:00 am, every Friday.
Preparation: None required. If you need to submit an IT Request during the maintenance window please e-mail ithelp@viu.ca. Once the maintenance is complete, an IT request will automatically be created based on your e-mail and you will be e-mailed a ticket number.

What is impacted: VIU Websites. Our Web team performs updates to our Drupal Web Content Management System.
Level of impact: No Interruption. While no outage is expected, saving content during this timeframe within the Drupal platform may be slower.
Timing: 10am to 3pm, every Tuesday.

What is impacted: wordpress.viu.ca; Our team will be installing updates to the system that hosts wordpress.viu.ca.
Level of impact: Service Interruption. During the maintenance window the above website will be unavailable for 15 minutes.
Timing: 6am to 8am, Wednesday, July 29.
Preparation: Please save any changes and log out your VIU WordPress blog prior to the maintenance window.

Maintenance - VIU Network Storage (U-Drive, Shares, etc.); Service Interruption Jul 29, 2026 17:00-19:00 PDT

What is impacted: VIU Hosted Network Storage; Our team will be installing updates to the server that manages the various VIU hosted network storage. This includes Departmental Shares, as well as VIU computer account U-Drives, Desktop, and Documents Folders.
Level of impact: Service Interruption. During the maintenance window, the update process will cause several disconnections to occur. These disconnections will occur 4 times, lasting anywhere from 10 seconds to 5 minutes before reconnecting. When these disconnections happen, access to and the saving of files to the above locations will be interrupted.
Timing: 5pm to 7pm, Wednesday, July 29.
Preparation: Please save your work and sign out of your computer when you leave for the day. Do you need to access and work on files from the network shares listed above during the maintenance window? Please copy the files you need to your device or OneDrive. Continue to work on the copy until the maintenance window is complete. Please remember to copy your files back to the network share afterwards

Level of impact: Service interruption. Internet connectivity and connections to the VIU network may be unavailable or inconsistent for up to 5 minutes during the maintenance window. This will also impact VPN access, network drive access, and access to tools hosted in our data center.
Timing: Thursday, July 16, 6 am to 7 am.
Preparation: Please save any shared folder data or remote files you may be working on prior to the 6 am start time. If network connectivity is important to your work, please plan your tasks outside of the maintenance window.

Scheduled - What is impacted: Employee and student computers; We are updating the Alertus notification software. This software is used by Health & Safety to notify people in the event of an emergency.
Level of impact: Computer restart required. If a device is in use during the update, a logout or reboot will be required to restart the Alertus software. A pop-up will appear once the update is installed, asking you to restart your device.
Timing: beginning 8 pm, Thursday, July 2. Continuing until all computers updated.
Preparation: Users should save their work and reboot their devices after the update. This will ensure the continued availability of safety and emergency notifications.

Scheduled - What is impacted:VIU's Ricoh Multifunction Printers are receiving a critical update.
Level of impact: Possible Service Interruption. A critical update is being installed on our fleet of Ricoh Multifunction Printers. You may find that your local device is unavailable to release your print jobs. After the maintenance period has ended, if your Ricoh printer has not returned to normal please contact the IT Service Desk. Please include the printer name, location and a description of what is wrong.
Timing: 1 pm to 4 pm, Friday, July 3.
Preparation: During this update we recommend printing to the FindMe queue. Thus, if your printer is offline, you can walk to another one to release your printing.
