What is impacted: VIU Services including Library Catalog, VIUBlogs, Mediawiki, Meta Project, VIU Contribute websites.
Level of impact: Service Interruption. All services listed will be unavailable for up to 15 minutes during the maintenance window.
Timing: Wednesday, 6:00am to 7:00am
Description: All Linux servers are receiving monthly updates and must be restarted.
Preparation: Please close these systems and all applications connected to these systems before 6:00am. Do not use these systems during the maintenance period.

Scheduled - What is impacted: All VIU Mitel phones including voicemail and call flows. Calls to affected locals may ring fast busy, have dead air, or go to voicemail. Phones may reboot multiple times.
Level of impact: Service Interruption Employees and classrooms with Mitel VoIP phones at all VIU campuses. Other phones on campus that are not Mitel (such as Nortel Aastra (Analog/Digital phones)) will remain operational
Timing: 6:00 pm to 3:00 am Friday June 22
Preparation: If you require phone service during maintenance window please plan to have a cell-phone available or book a room with an active Analog/Digital phone set. Where possible, please test calling from your cell-phone in the working location and/or from any phones in rooms booked in advanced.

Identified - We are experiencing issues with the guest wireless access services (viu-guest). Guests may be able to sign up to viu-guest but will not be able to connect to the internet.

Resolution time: In order to prevent disruption to other network services, the guest wireless services may unavailable for the duration of today, Friday February 22.

Updates: Next email update will be by 2:00 pm today.

Level of impact: Service Interruption. The Tableau service will be unavailable during the maintenance window.

Preparation: Please save your work and logoff Tableau before the maintenance window begins.

Scheduled - What is impacted: Alertus Desktop Alert Software VIU IT is performing a configuration change to the Alertus Server.
Level of impact: Service Interruption. During the maintenance window the Alertus icon by the clock on your desktop will change from yellow to red. It will change back to yellow once the maintenance is complete.
Timing: 9:30 am until 10:30 am Monday June 18

Scheduled - What is impacted: Network and VoIP phones. Network and VoIP phones in Buildings 305, 395 and the residence building B4.
Level of impact: Service Interruption. Network and Mitel phones in above buildings will unavailable for up to 15 minutes during maintenance window.
Timing: 7:00 pm to 10:00 pm Friday June 15.
Preparation: Save and log off from computer before leaving for the day. Have cell phones ready if working during outage period. Blue emergency phones are available if there is an emergency.

Resolved - VIU IT staff, in conjunction with our Vendor, have resolved the Mitel VoIP phone challenge.

• Normal 4 digit dialing to internal locals will now work.
• IT helpdesk local 6300 will remain down until Monday morning.
• Programmed phone keys and voicemail buttons on phones should work as before.

If you find your phone is still not working properly, please email the IT Helpdesk with your local, phone model, and what doesn’t work.

Update - VIU is currently experiencing telephone system issues with minor impact to some Mitel VoIP phones at all VIU Campuses.

Challenges:
• 4-Digital dialing to internal locals may not work
• IT Helpdesk local 6300 is currently down
• Phone keys and voicemail buttons on phone may not respond

Workarounds:
• If 4 digit dialing to internal locals does not work
Local call - dial 9 then the full 10 digit number (for example: call the Nanaimo Switchboard, 250-753-3245, then Press 1 and enter the employees extension)
Long distance call - dial 9, then 1, then the desired number, then your LD code if prompted
• Helpdesk can be reached via e-mail at ithelp@viu.ca for assistance
• Access voicemail by dialing * then 8, or call 250-740-6699

Resolution Time: We are aware of the issue and are working towards a solution. However, resolution time is currently unknown.

Investigating - VIU is currently experiencing telephone system issues impacting Mitel VoIP phones on the Nanaimo campus.

Calling to and from any Mitel VoIP phones or local numbers may be intermittently operational.

Non-VoIP phones such as Nortel Aastra (Analog/Digital phones) are still working at this time.

Resolution Time: We are aware of the issue and are working towards a solution. However, resolution time is currently unknown.

Scheduled - What is impacted: S-WISP wireless network. Server Change for S-wisp Authentication.
Level of impact: Service interruption. The above services will be unavailable at the Nanaimo Student Residences and IT Helpdesk until S-WISP is re-added with midway.it.int.viu.ca as the authentication server.
Timing: 11:00 am to 12 noon Friday June 15.
Preparation: Remove/forget S-WISP network from devices, re-add S-WISP. Linux, Windows 7 and older clients will need to specify midway.it.int.viu.ca as the authentication server.

Scheduled - What is impacted: Employee computers; upgrading security software (Symantec Endpoint Protection).
Level of impact: Computer restart. Installations will only occur during maintenance windows. Employees may be prompted to restart their computers to complete the upgrade.
Timing: beginning 10:00 pm to 6:30 am, Friday April 13. Continuing until all computers updated.
Preparation: Software updates can cause computers to restart. We recommend that you save and close your work at the end of every day then log off or restart your computer. Do not shut down your computer systems or they will not receive the updates. Your system may not update the first night and may update any of the following nights depending on update load.

Level of impact: Service Interruption to employee and classroom with VoIP phones at Nanaimo Campus. Calling to and from any Mitel VoIP phones or local numbers will not be operational. Intermittent interruption to employee and classroom phones at all other VIU campus locations (up to 15 minutes interruption during maintenance window, otherwise un-impacted).
Timing: 6:00 pm to 11:00 pm, Thursday June 14th
Preparation: Plan to complete all phone calls prior to the maintenance window. Have a cell phone handy in case you need to make a call. Blue emergency phones are available if there is an emergency.
