Identified - VIU is currently experiencing intermittent telephone system issues impacting Mitel VoIP phones on all VIU campuses and sites.

Symptoms may vary from minor broken features to a complete disruption of service to a phone set. Broken features may include:
• Mitel phones may not reachable from incoming callers (will not ring) but phone may be able to call out
• Mitel phones may ring to the wrong phone sets when a local number is dialed
• When picking up Mitel phone handset, lines may not automatically select a line (no dial tone present)
(employees may have to press their local button on the display to get a line/dial-tone)
• When dialing-out there may be delays experienced (or “dead-air”) before calls are connected
• Call forwarding to some Mitel VoIP locals may not work
• Call displays may incorrectly report as ‘private ringing’
• Some phones may be stuck on previous set up (example, may be stuck forwarding to other Mitel phones if previously set up)
• Voicemail lights may began flashing even though there are no new voicemail messages

Resolution Time: The vendor is aware of the issue and is working towards a solution. However, resolution time is currently unknown.

What is impacted: DISCOVERY (student) share drives. This does NOT impact CAPITAN (employee) share drives.
Level of impact: Service Interruption. All employees and students who use DISCOVERY share drives will be unable to access the files on those share drives during the maintenance window.
Timing: 4:00 pm to 4:30 pm Monday November 20.
Preparation: Please save and close any files you have open that are stored on DISCOVERY shares before the maintenance window.

Scheduled - What is impacted: VIU Phone Systems will be unavailable including all Nanaimo campus phones (both Nortel and Mitel systems) and all Mitel phones on remote campuses and sites. No calls will work in/out to/from Nanaimo. Nanaimo main switchboard (250-753-3245) will NOT work. Local 6600 (Security) will NOT work. Some direct phone lines (Telus 1B lines) and Code Blue systems will work (as they are separate from the Mitel/Nortel systems).
Level of impact: Service Interruption. The above phone services will be unavailable during the maintenance window.
Timing: 5:00 pm to 10:00 pm Friday November 17.
Preparation: Have a cell phone hand if you require a phone for work after 5:00 pm Friday.

Level of impact: Service Interruption. All services listed will be unavailable for up to 15 minutes during the maintenance window.
Timing: Wednesday 5:00pm to 6:30pm
Description: All servers are receiving monthly updates and must be restarted.
Preparation: Please close these systems and all applications connected to these systems before 5:00pm. Do not use these systems during the maintenance period.

- VIU email (including Outlook, webmail and public folders)
- VIULearn online courses (D2L)
